QuickBooks accounting system has significant potential; however, the leveraging of that capability is dependent on how the system is setup. The setup and implementation activities will greatly determine how much value QuickBooks delivers to your company. “Research has demonstrated that, on average, Businesses use only about 20% of the QuickBooks program”. The goal of this methodology is to provide our customer with greater value.

The Alston Quality Consulting (AQC) vision is to significantly expand our client’s ability to serve their customers through increase information and decrease time operating the system. Our Methodology is design to achieve three goals:

First, cost effectively setup the QuickBooks system, integrate it with banks, credit card and your payroll service.

Second, setup the system in a way that puts limited demand on your administrative resources and produces meaningful business management information.

System Setup Services

This task is focused on gathering all key information necessary to implementing the system. It is also an opportunity for the customer to envision what information will be needed to support business operation

Using the "Service Order" and information gathered from our client, AQC will prepare a project plan and schedule. We will present the schedule for our clients review.

The focus of this Task is to setup all of the system control information. For example the chart of account , customer list, vendor list, custom fields, tax information, preferences, opening balances etc

The objective of this task is to: identity who needs information from the system (i.e.. Accountant, Bookkeeper, Bill payment), who need to provide information to you (i.e.. Bank, Credit Cards, Payroll service) and  Setup the system to handle these interfaces.

Here we will capture all appropriate transactions needed to bring Quickbooks up to date with current account activities and balances.

Once the system has been setup and the transactions have been captured, AQC will take system through our operational checklist, print reports and perform current bank reconciliation.

After completing our system test checklist satisfactorily, we ask that the customer sign a letter of acceptance indicating the system meets those expectation defined in the “Service Order”.

Bookkeeping Services

AQC provides QuickBooks bookkeeping services for our clients. We setup a bookkeeping process that is specific to your needs. We provide the following Bookkeeping services:

General Ledger Bookkeeping

·        Input Transactions: We enter all your transactions into a QuickBooks file on a monthly basis

·        Assign Items to Appropriate Accounts: We assign all transactions to appropriate income and expense accounts.

·         Reconciliation of Bank Statements: Your bank statements can be mailed directly to AQC for reconciliation.

Accounts Receivable Bookkeeping

·         Accounts Receivable: AQC will invoice your customers and manage collection as necessary. AQC can receive your payments and deposit them directly into your bank account.

·         Assist with Cash Management: We will prepare collection letters for you to sign and send to your customers, and we will make sure your bills are paid on-time, but no earlier than necessary.

Reporting

·         Financial Statements: AQC will provide monthly financial statements for your review.

·         Year End Reports for Your Accountant: We will provide your accountant with the information they need to quickly and inexpensively prepare your taxes.

Accounts Payable Bookkeeping

·         Accounts Payable: We prepare your checks for signature and send them to you to sign and mail out.

·         Vendor file: We will maintain your vendor files, keeping the information up-to-date.
